Terms of Use: NDIS SupportFlow

These Terms of Use apply when you access or use SupportFlow™.

By using SupportFlow, you agree to these terms. If you do not agree, you should not use the app.

1. What SupportFlow is

SupportFlow™ is a business and record-management tool designed primarily for independent NDIS support workers and sole traders.

Depending on the version and features available, SupportFlow may help you manage participants, shifts, timesheets, shift notes, invoices, travel, expenses, business records, tax estimates, service agreements and other support-work administration.

SupportFlow is a software tool. It is not the NDIS, the NDIA, the NDIS Quality and Safeguards Commission, the Australian Taxation Office, or an accounting, legal or financial advisory service.

SupportFlow™ is an independent product and is not endorsed by or affiliated with those government bodies unless expressly stated otherwise.

2. Your responsibility

You are responsible for the information you enter into SupportFlow and for ensuring that your use of the app complies with your professional, contractual and legal obligations.

This includes responsibility for entering accurate information, checking invoices and calculations, keeping appropriate business and participant records, obtaining any consent or authority required to hold participant information, protecting participant confidentiality, complying with applicable NDIS requirements, meeting taxation and business obligations, and maintaining appropriate backups.

SupportFlow assists with administration but does not replace your professional judgement or responsibilities as a support worker.

3. NDIS information

SupportFlow may assist you in organising information relating to NDIS services.

You remain responsible for confirming that service descriptions, support categories, rates, claiming arrangements and other NDIS information are appropriate and current before relying on them.

NDIS rules, pricing arrangements and guidance can change.

Where a matter is important to a participant, payment or compliance obligation, you should verify it against the relevant current official NDIS or government information.

4. Claimable deduction checker

Claimable is an optional feature that allows you to ask general questions about whether an expense may be deductible.

When you use Claimable, the question you type is sent to Anthropic’s API so the feature can generate a response.

Do not enter participant names, NDIS numbers, health information or other personal information into Claimable.

Claimable is intended to provide general information only. It does not provide personal taxation, accounting, financial or legal advice, and its output should not be treated as a substitute for checking current official guidance or obtaining professional advice where appropriate.

5. Tax and financial information

Any tax calculations, estimates, GST information, deduction information or financial figures provided by SupportFlow are provided as administrative tools and general information.

They are not personal taxation, accounting, financial or legal advice.

Tax estimates may differ from your actual tax liability because your final position can depend on income and circumstances outside the information recorded in SupportFlow.

You remain responsible for checking your taxation position and obtaining professional advice where appropriate.

6. Participant information

SupportFlow may be used to store sensitive participant information.

You must only enter, retain, use or disclose participant information where you have an appropriate reason and authority to do so.

You should only record information reasonably necessary for providing or documenting your services.

You are responsible for maintaining confidentiality and protecting access to the device on which SupportFlow is used.

7. Local storage and backups

SupportFlow is designed so that operational records are stored locally on your device unless a feature expressly states otherwise.

The developer does not operate a central participant database for these records.

Because records are stored locally, you are responsible for maintaining appropriate backups.

Loss, damage, replacement, reset or failure of your device, clearing browser or application storage, uninstalling the app, or other device or software events may result in loss of locally stored information.

Where encrypted backup functionality is available, you are strongly encouraged to use it regularly.

You are responsible for keeping your backup passphrase secure. The developer cannot recover an encrypted backup if you lose its passphrase.

8. Security

SupportFlow includes security features intended to reduce unauthorised access, but no software or device can guarantee absolute security.

You are responsible for maintaining appropriate security on your device, including its screen lock, operating-system updates and physical security.

The app’s PIN or biometric protection controls access to SupportFlow but should not be treated as independent encryption of all locally stored records.

9. Availability

The developer aims to keep SupportFlow reliable and available but cannot guarantee uninterrupted or error-free operation.

Features may occasionally be changed, corrected, updated, suspended or removed for maintenance, security, legal, technical or operational reasons.

You should not rely on SupportFlow as the only copy of information you are legally or professionally required to retain.

SupportFlow’s software, branding, interface, original content and associated materials remain the property of their respective owner or licensors.

Using the app does not transfer ownership of SupportFlow’s intellectual property to you.

Information and records that you create or enter remain yours or subject to the rights of the relevant participant or other person as applicable.

12. Third-party services

SupportFlow may rely on third-party infrastructure or processing services.

The app is hosted using Netlify. Claimable sends the question entered by the user to Anthropic’s API when that feature is used. You may also choose to export information using your own email, cloud-storage or file-sharing provider.

Third-party services operate under their own terms and privacy practices.

13. Development assistance

Claude, an AI system made by Anthropic, was used by the developer during development as a coding and writing tool.

That development-time assistance is separate from Claimable’s runtime API use.

No real participant records, real support-worker business records or production user information were intentionally supplied to Claude or Anthropic during development. Fictional and example data were used for testing and demonstration.

Claude does not have ongoing access to the deployed app or its locally stored user records.

14. Limitation of responsibility

To the extent permitted by Australian law, the developer is not responsible for losses resulting from incorrect information entered by a user, failure to check an invoice or calculation, loss or failure of a user’s device, failure to maintain backups, loss of a backup passphrase, unauthorised access resulting from inadequate device security, changes to NDIS or taxation rules, or failures involving third-party services.

Nothing in these Terms excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law or other applicable legislation.

15. Changes to these Terms

These Terms may be updated when SupportFlow changes or where legal, security or operational requirements make an update necessary.

The latest version will display its effective date.

If a material change affects your use of SupportFlow, an appropriate notice may also be displayed in the app.
